Executive Director

The American Iranian Council invites applications for the position of Executive Director. AIC is a non-profit (tax-exempt) and non-partisan educational and research organization dedicated to promoting dialogue and understanding between the United States and Iran. The Council is led by a prestigious Board of Directors and is headquartered in Princeton, New Jersey. The Executive Director will serve as the chief executive officer of the Council, with primary responsibility for managing the organization's day-to-day operations, preparing the Council's annual budget and program of activities, leading the organization's fundraising and membership drive, producing and distributing AIC publications, directing and coordinating the work of a small professional staff, and serving as the primary spokesperson for AIC. Detailed Job Descriptions

Executive Director (Interim Director)

Functional Role: The Executive Director, appointed by the President upon approval of the Chairman of the Board of Directors, functions as Chief Operating Officer (COO) supervising over and running all day-to-day operations and affairs of AIC.

Reporting Relation: This position reports and is accountable to the President and the Board of Directors.

Authorities:
-Enter into and execute contracts and other documents on behalf of the President
-Represent AIC on behalf of the President
-Other authorities as vested in the position delegated by the President.
-Authorized to implement the following duties and responsibilities.

Duties & Responsibilities:
-Make sure the Bylaws are properly followed.
-Assume responsibility for day-to-day operations and affairs of AIC
-Ensure AIC employees work as a TEAM and all resources are optimally utilized towards achieving the mission, goals and objectives.
-Administer the policies, directives and programs approved by the BOD.
-Plan and develop the annual budget, administrative, financial, fund raising, program development, events, publications, public relations, marketing, membership, research and educational affairs.
-Supervise and ensure that the Directors of Administration and Finance, Funding and Program Development, Events and Publications, and Public Relations and other employees perform their duties and responsibilities efficiently and on time.
-Oversee the preparation of various reports to international, national, governmental and Non-Governmental Organizations (NGOs).
-Establish compensation and benefits package for all employees.
-Supervise all directors, managers, and employees and approve all personnel actions including employment, periodic appraisals, promotion, and termination.
-Advise President on appropriate legal safeguards and obtain legal advice and insurances as recommended by the Board.
-Send notices of all meetings as prescribed in the Bylaws.
-Keep the minutes of all meetings of the Board Of Directors and Executive Committee.
-Ensure that members of the Honorary Board of Directors, Board of Directors, Advisory Council, Executive Committee and Directors of Functional Committees as well as Members are kept updated with all developments at AIC.
-Have charge of the seal of AIC.
-Provide annual plan and budget, monthly AIC executive, quarterly AIC update, and annual AIC report.
-If needed, arrange conference call with the members of the Executive Committee each month.
-Implement other executive tasks not mentioned above.

Qualifications:

Education:
- A Master's degree (MA/MS) is required.

Experience:
-Minimum ten years of executive experience in managing non-profit or for-profit organizations, which must include budget management and fund raising.

Skills:
- Excellent communication and skills
- Goal-oriented management style
- Computer proficiency
- Knowledge of Persian culture and language is desired but not required.

Executive Assistant (part-time or full-time)

Functional Role:
-The Administrative and Editorial Assistant is primarily responsible for assisting the Director to ensure that all administrative systems and operations of AIC are designed and executed with maximum efficiency and on time.

Reporting Relation:
-This position reports to and is accountable to the Director of Administration and Finance.

Authorities:
-Authorized to implement the following duties and responsibilities.

Primary Duties & Responsibilities:
-Answer all phone calls to AIC with a professional greetings, positive tone of voice, and make sure the caller questions or queries are fully answered. Make sure telephone calls are forwarded and/or messages are taken correctly with adequate information gathered from the caller.
-Welcome all visitors to the AIC office with a professional and positive attitude. Make sure visitor's questions or queries are fully answered.
-Receive mails and distribute them accordingly.
-Forward general e-mails, depending on the subject, to appropriate personnel.
-Create and maintain databases as per order of the Director, President and Executive VP.
-Make copy, and send e-mails and faxes as per order of the Director, President and Executive VP.
-Make sure office supplies and stationeries are available and neatly organized.
-Package, label, and mail all required envelopes and shipments.
-Take notes and prepare drafts of letters as per order of the Director, President and Executive VP.
-Create, edit and proofread documents, publications and communications.
-Ensure that no document, paper, mass e-mail, announcement, etc. leaves the AIC office before it is controlled for any and all grammatical, typographical and spelling mistake
-Help the Director to establish and organize (alphabetically and chronologically) required administrative files (hard copies and soft copies including databases).
-Help the Director to keep telephones, faxes and copiers working properly and offices functional and neat at all times.
-Implement other administrative tasks not mentioned above.
